How Does the Jobs List Work?

The list of jobs that you'll see on the app is an active list of jobs (not a history of jobs sent). This means that what you will see will now be similar to what is on your substitute-service page, as we will only show you jobs that are currently available (AND that match your filters/settings on your Sub Sidekick account). 


A couple things to keep in mind:

  • If there are no current jobs available that ALSO match your filters, then the Job List page will be blank. 
  • Once a new job becomes available on your substitute-service site, it will take a short amount of time for our server to detect the job and then be sent to you on the app. In most cases this process will be a matter of seconds, but if our server happens to be in between searches when the job first appears, it could be closer to a minute or so.
  • Jobs will be cleared from your list once they are accepted by you or another user. However, keep in mind that there also might be a slight delay at times if our server depending on how quickly our server receives notification that the job has been taken.

Why Is There a Job On My App That Is No Longer On My Substitute Service Website?

The way our system works is that our computer servers search for jobs for you every 60 seconds and then sends you an email, text, or app alert the moment the job is detected. Just as it is with emails and text messages, there's a chance that by the time you select a job to accept on the app, it may have already been taken on the substitute service website. 


All jobs that are accepted by another user will be cleared from your app every 60 seconds, but keep in mind you may see them for a few seconds after they are accepted before our server clears them. It is still a mostly 'live' view of jobs, but there is of course a delay from how jobs are shown on your substitute service site because of the time it takes for our server to post the jobs and then clear the jobs.


Why Did I Not Receive A Certain Job On My App?

SubSidekick detects all jobs that appears on your substitute service webpage (e.g. Frontline Absence Management, ReadySub, SubstituteOnline). There are a couple different reasons why a job may hit your substitute webpage (or you will hear about the job from someone else), but you still don't get an alert from us. 


1) Server Timing: Our server searches your substitute webpage every 60 seconds (which is a timeframe dictated to us by the sub services). In between these searches, it IS possible for a job to come onto your sub page and be accepted by another user before our server is able to detect it. If that's the case, the job is no longer in the system when our server searches again, and therefore no alert is sent. These usually happen when the other sub happens to be looking at the sub website at the time the job pops up. However, if a job comes up or is still there while our server IS searching, we are able to send it to you within 1 second of detection, so most of the time we are able to get the alert to you. 


2) Preferred Assignments: As you may know, there might be times a teacher requests another specific sub, and in that case won't put the job in the sub system for all to see. In this case they instead set up the job directly through the sub themselves and it won't ever hit your sub page for our server to see, and thus no alert will be sent.

 

3) Filters: If you didn't get a job alert that you think you should've, make sure you check your filters on both SubSidekick and your sub service. It may have been filtered out based on your preferences. You can always change your preferences if you'd rather see more alerts than you are currently seeing. 


4. Schedule Conflict: If you are already scheduled for another job, you will not receive any alerts for jobs that conflict with the existing job. 


5. Job Marked 'Locked'/Unavailable: The job was marked as unavailable by the substitute-service, meaning that the job is locked (being edited) or currently unavailable for acceptance. Once the job becomes available, you will be notified.

How Does The Filter Toggle (Funnel Icon) Work?

When you set filters, these filters will be used to determine which jobs generate text and app alerts. The filter toggle icon in the app (white/filled = on, outline/unfilled = off) only controls what is displayed in the app, not alerts. Here is an example of when you would use the filter toggle in the app:

Let's say you have a filter that says you only want to be alerted to "Jackson High School". Normally, this is sufficient for you but on this day you would like to work and are interested in non-"Jackson High School" jobs. You open the SubSidekick app and toggle the filter icon. This will display in the app any jobs that are not "Jackson High School". If you leave the filter toggle off, you will continue to see non-"Jackson High School" jobs in the app, but you will not receive app alerts or text message alerts for these jobs.

In the scenario above, if you decided that you wanted to get alerts for all jobs but you still preferred "Jackson High School" then I would suggest removing all your filters from the website or app and then set "Jackson High School" as a favorite. This way you get alerts for all jobs but "Jackson High School" will include a special "FAVORITE" tag in text messages and it will appear in yellow and the top of your app list of jobs.

Why Don't I See A Job On The Substitute Website?

Sometimes by the time you check the substitute website for a job, the job listing could already be gone because the job has been accepted by someone else. Especially in the more competitive districts, some jobs will be accepted in a matter of seconds and no longer available for viewing. Alternatively, the teacher or school district could have canceled or modified the job and it is no longer available.
